1. Who we are

AwareHerd is operated by Gad Solutions Inc., a New York corporation, at 55 Carlson Ct, Closter, NJ 07624, USA. You can reach us at support@awareherd.com about anything in this policy.

2. What this policy covers

This policy covers the AwareHerd platform and this website. AwareHerd is a business-to-business service: our customer is a dairy farm or the organization that owns it, and the people who use the platform do so as members of that customer’s organization. Where this policy says “you”, it means an individual person using AwareHerd; where it says “your organization”, it means the customer whose farm data is being processed.

3. What we collect

Account information. Your name, email address, the organization and farms you belong to, and your role. This reaches us in one of two ways: an administrator at your organization enters it when adding you, or you enter it yourself when completing your account.

Sign-in information. Authentication is handled by Amazon Cognito. We hold the identifier it issues for your account, together with a record of when your account was created, invited and accepted. We never receive or store your password.

Farm and herd data. Herd structure, farm and herd configuration, economic assumptions your organization supplies, and per-animal records: identifiers, lifecycle events, milk yield, breeding and fertility events, health events, treatments, movements and culling. This is your organization’s operational data about animals. It is not personal data about you.

Files your organization sends us. Historical exports and ongoing deliveries from milking systems, herd-management products and spreadsheets, together with their metadata, checksums and the record of who uploaded them and when.

Activity and audit records. What was done in the platform, by which account, when, and against which farm. We keep these deliberately and we do not shorten them, because they are how a farm can later establish who changed what.

Technical logs. Server-side request logs and error diagnostics necessary to operate and secure the service.

We do not use advertising or analytics trackers that follow you across other websites, and we do not buy, sell, rent or trade personal information.

4. Why we process it

To provide the platform: to authenticate you, to decide what you are allowed to see, to import and validate your organization’s data, to produce forecasts and recommendations for your farms, and to generate the reports you print. To keep the service secure and available. To support your organization when it asks. To meet our legal obligations.

5. Who can see your organization’s data

Your organization. An owner sees the organization’s farms. An employee, veterinarian or advisor sees only the farms they were explicitly assigned to, and only the workflows their role permits. Access is granted by your organization, not by us, and it is enforced on every request rather than merely hidden in the interface.

Not other customers, ever. Each customer’s data is isolated, and that isolation is enforced at more than one layer. No forecast, ranking, percentile or benchmark computed from another farm’s data is ever shown to you, and nothing from your farm is ever shown to anyone else’s.

Our staff, in three narrow cases, all of them recorded. We are honest about this because it is the part customers most deserve to know:

Nobody else. We do not disclose your organization’s data to third parties for their own purposes.

6. Service providers

AwareHerd runs on Amazon Web Services. AWS provides our hosting, database, storage, identity (Amazon Cognito) and outbound email (Amazon Simple Email Service). AWS processes this data on our instructions in order to run the service, and for no purpose of its own.

If we add another provider that handles customer data, we will list it here.

7. Where your data is stored

In the United States. Our infrastructure runs in the AWS US East (N. Virginia) region. If your farm is in Canada, this means your data is transferred to and stored in the United States. We say so plainly because you are entitled to know before you send us anything, and because Canadian privacy law requires that disclosure. If Canadian data-residency becomes a requirement for your operation, tell us before you start.

8. How long we keep it

Records of animals, events, forecasts, recommendations, decisions and outcomes are kept for as long as your organization uses AwareHerd, because the value of the service depends on history. These records are append-only: a correction is recorded as a new entry rather than by overwriting the old one, so the earlier state remains visible.

If your organization stops using AwareHerd, we will delete or return its data on request, subject to any period we are legally required to retain it. Account information for an individual is removed when your organization removes you.

9. Security

Access is authorized on every request against your current membership; a browser-supplied organization or farm identifier is treated as a request and never as proof of access. Database access is separately constrained as a second layer, so a mistake in one layer does not on its own expose another customer’s data. Traffic is encrypted in transit, and account emails carrying a temporary credential are refused rather than delivered if the receiving server cannot negotiate TLS. Administrative actions are audited.

No system is perfectly secure, and we do not claim otherwise. If we discover a breach affecting your organization’s data, we will notify it without undue delay.

10. Email we send you

AwareHerd sends only account email, and only to a person an administrator has explicitly added or who has asked us for something themselves: an invitation carrying a one-time temporary password, and Amazon Cognito account messages such as a password reset or an address verification.

We send no marketing, no newsletters and no bulk mail. There is no mailing list and nothing to unsubscribe from — an address is used at the moment someone invites that person, and again only if that person asks to reset their own password. Account email comes from no-reply@mail.awareherd.com, which is not monitored; write to support@awareherd.com if you need a person. A hard bounce or a spam complaint suppresses the address and we do not send to it again.

If you receive an AwareHerd invitation you were not expecting, do not sign in. Write to support@awareherd.com and we will remove the account.

11. Your choices and requests

You can ask us to tell you what personal information we hold about you, to correct it, or to delete it. Because AwareHerd is a business service, your organization controls its own farm data — so where a request concerns that data rather than your own account details, we will refer it to your organization and help them act on it.

Depending on where you live you may have additional rights, including under California law. We do not sell personal information and we do not share it for cross-context behavioral advertising, so there is nothing to opt out of on that front. To make any request, write to support@awareherd.com.

12. Children

AwareHerd is a workplace tool and is not directed at children. We do not knowingly collect personal information from anyone under 16.

13. Changes

If we change this policy we will update the date at the top. If a change materially affects how we handle your organization’s data, we will tell the organization rather than rely on you noticing this page.
